Terms of Service

1. Acceptance of Terms

By accessing or using Sendabrief ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

2. Description of Service

Sendabrief is an AI-powered platform for creating, storing, and governing Standard Operating Procedures (SOPs). You can create a SOP in five ways: write it manually, upload a document (PDF, Word, or PowerPoint), describe the process in text or by voice, supply a meeting transcript or recording, or import a click-by-click session captured with the Sendabrief browser extension.

Around that library, the Service provides version history, a draft review and approval workflow, teams and roles, per-SOP access grants, guest task assignments, tags and folders, scheduled review cycles, read confirmation tracking, usage analytics, machine translation, PDF and Word export, public share links, embeds, client portals, a public REST API, and outbound webhooks. Availability of these features depends on your plan.

3. Accounts and Workspaces

You must create an account to use the Service. Accounts are grouped into a workspace with a single owner. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account, and you must provide accurate and complete information during registration.

The workspace owner and any managers control who has access to the workspace and at what level: account-wide roles (owner, manager, editor, member), per-team roles (manager, member, read-only), and per-SOP access grants. Owners and managers may also issue access that does not require a Sendabrief account at all: guest task links, public share links, embeds, and client portals. Anyone holding such a link can view the content it points to, so you are responsible for who you send those links to and for revoking them when access should end.

Workspace ownership may be transferred by the owner to an existing manager. API keys and webhook secrets are shown once at creation and are your responsibility to store securely.

4. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose
• Upload recordings, transcripts, documents, or screen captures you do not have the right to share, including recordings of meetings or calls made without the consent required in the participants' jurisdiction
• Upload special-category or regulated personal data (for example health, financial account, or government identifier data) that you are not permitted to process through a third-party service
• Attempt to reverse-engineer, probe, or circumvent the Service, its plan limits, or its access controls
• Exceed documented API rate limits, or use automated means to place unreasonable load on the Service
• Resell or sublicense access to the Service without permission
• Use the Service to generate content that violates applicable laws or infringes the rights of others

5. Your Content

You retain ownership of all content you submit to the Service: documents, recordings, transcripts, voice notes, screenshots, narration, and the SOPs produced from them. By submitting content, you grant Sendabrief a limited licence to store and process it, and to transmit it to the subprocessors listed in our Privacy Policy, solely for the purpose of providing the Service to you. Neither we nor our AI providers use your content to train AI models.

Where you submit content about other people (teammates you invite, guests you assign a SOP to, or individuals appearing in a recording or screenshot), you confirm you have the authority to provide that content to us for processing.

6. Plans, Billing, and Payments

Sendabrief offers a Free plan and a paid plan, Sendabrief Pro, at $49 per month with no per-seat fees. Pro includes a 14-day free trial; a payment method is required to start the trial and you are not charged until the trial ends. Paid subscriptions are then billed in advance on a monthly basis and renew automatically until cancelled.

Payments are processed by Lemon Squeezy, our authorised reseller and merchant of record. By subscribing, you agree to Lemon Squeezy's terms. Prices are subject to change with 30 days' notice. Promotional codes, where issued, grant complimentary access for a fixed number of months, have no cash value, and are not a purchased subscription. See our Refund Policy for trial, renewal, and cancellation terms.

7. Plan Limits

The Free plan is limited to 25 SOPs and 1 member. The 25-SOP limit is a lifetime cap on SOPs created, not a monthly allowance. The Free plan includes scheduled review cycles, read-only share links, and PDF and Word export; those exports carry a small "Generated by Sendabrief" footer credit. Features listed as Pro, including teams, per-SOP grants, guest tasks, tags and folders, version history, conflict detection, analytics, translations, embeds, client portals, export without the Sendabrief footer and under your own branding, API access, and webhooks, are unavailable on the Free plan. Sendabrief reserves the right to modify plan limits with reasonable notice.

8. AI Output and Disclaimer of Warranties

The Service is provided "as is" without warranties of any kind, express or implied. SOPs are generated by AI models from the material you supply, and transcription and translation are likewise machine-produced. Output may be incomplete, inaccurate, or misleading. You are responsible for reviewing and validating all generated SOPs, transcripts, and translations before relying on them operationally or publishing them to your team, clients, or guests.

9. Limitation of Liability

To the maximum extent permitted by law, Sendabrief shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability shall not exceed the amount you paid in the 12 months preceding the claim.

10. Termination

We may suspend or terminate your account if you violate these Terms. You may cancel your subscription or delete your account at any time from Settings. Deleting your account permanently deletes your workspace and its SOPs, as described in our Privacy Policy. Cancelling a paid subscription without deleting your account returns the workspace to the Free plan and locks Pro features, but does not delete your SOPs.

11. Changes to Terms

We may update these Terms from time to time. We will notify you by email of material changes. Continued use of the Service after changes constitutes acceptance.

12. Governing Law and Disputes

These Terms and any dispute arising out of them or out of your use of the Service are governed by the laws of the Hashemite Kingdom of Jordan, without regard to conflict-of-law rules. The competent courts of Amman, Jordan have exclusive jurisdiction, and you and Sendabrief submit to that jurisdiction.

Before filing a claim, please contact us at support@sendabrief.com so we can try to resolve the matter directly. If you are a consumer resident in the European Union, the United Kingdom, or another jurisdiction whose law gives you non-waivable rights to bring proceedings locally or to the protection of your home country's consumer law, nothing in this section limits those rights.
